How-to: Maintaining consistency for existing entitlement settings

Introduction

This document provides you with examples on how you can maintain the expiry dates for entitlements when the Apply expiry date feature is used.

Description

To ensure consistency of historical (existing) entitlements when the Apply expiry date check box is selected on the HRM: Division - Entitlements page, the system will automatically define expiry dates for existing entitlements without preset expiry dates.

The following are the different scenarios of historical entitlements whereby the automatic adjustments are made.

Scenario 1:

Entitlements generated before the effective period (historical entitlements) will be set to non-statutory entitlements and a new expiry period is defined based on the following:

31 December of the year of the entitlement’s start date + non-statutory expiry period defined in the entitlement setting

Example 1:

Entitlement generated date: 1 March 2011

Entitlement non-statutory expiry period: 6 months

The expiry period for this entitlement: 30 June 2012

Example 2:

Entitlement generated date: 1 March 2006

Entitlement non-statutory expiry period: 5 years

The expiry period for this entitlement: 31 December 2011

Scenario 2:

If the effective date is set to an earlier date, entitlements generated between the effective date and the current date will be without expiry dates. However, the expiry dates can be applied manually.

Example

Current date: 1 February 2012

There is already an entitlement generated for period 1 of the year 2012, without an expiry date and without differentiation between statutory and non-statutory entitlements. If the Apply expiry date check box is selected and the effective date is set to period 1 of the year 2012, the entitlements generated for period 1 will be out of sync.

The system will not automatically fix the expiry dates for these entitlements. The user needs to go back to period 1 to regenerate the entitlements based on the defined statutory and non-statutory allocations and define expiry dates for these entitlements manually.

Scenario 3

If the effective date is set to a later date, the entitlements to be generated up to the effective date will be generated as one entitlement request. The value is derived from the sum of the statutory and non-statutory entitlements defined. The entitlement type and expiry date will not be set for these entitlements. 

Scenario 4

If the Apply expiry date check box is cleared, the system will automatically remove all expiry dates and entitlements types from all previously generated entitlements.
