Creating and modifying project deliverables

Introduction
On this page, you can create or modify project deliverables. You can also create child projects.
Roles and rights
To manage deliverables and work breakdown structure (WBS), function right 903 — Manage deliverable/WBS is needed.
By default, users with the Project planner or Project administration role have this function right.

What version are you using?
The information in this document is applicable to product update 260 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I create deliverables?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, under the Deliverables section, click New.
- On the Deliverable: New page, define the relevant fields.
- Click Save to save the entry or click Save + New to save the entry and create another deliverable.
Note: All fields with the “!” icon are mandatory.
How do I modify deliverables?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, under the Deliverables section, click the hyperlinked name of the required deliverable in the Deliverable column. Alternatively, in the Actions column, you can click the corresponding
Edit icon of the required deliverable.
- On the Deliverable page, modify the relevant fields.
- Click Save.
How do I delete deliverables?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, under the Deliverables section, click the hyperlinked name of the required deliverable in the Deliverable column. Alternatively, in the Actions column, you can click the corresponding
Edit icon of the required deliverable.
- On the Deliverable page, click Delete. A message, “Are you sure that you want to delete this record?” will be displayed.
- Click OK.
How do I create child projects?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, under the Deliverables section, click the hyperlinked name of the required deliverable in the Deliverable column. Alternatively, in the Actions column, you can click the corresponding
Edit icon of the required deliverable.
- On the Deliverable page, click New child project. A pop-up page to create a child project will be displayed. For more information, see Creating and modifying projects.
- Define the relevant fields.
- Click Save.
Tips and tricks
A deliverable can be New, In progress, or Completed at any one time. However, the transitions that are allowed are displayed in the following:

Only project managers are allowed to change the status of the deliverables. The transitions of a parent deliverable will affect its child deliverables and vice versa. See the following tables for more information:

If the status of the parent deliverable is In progress, the status will remain.
If the status of the parent deliverable is Completed, then this transition is not possible. The following message is displayed:
“The state of this deliverable can be changed to In progress only when the state of its parent deliverable is already In progress.”
These apply to all parents up the tree.

When you set a deliverable to the Completed status, a message will be displayed to notify the project manager of any incomplete request.
- Clicking the incomplete requests hyperlink on the message will display a list of incomplete requests for that deliverable.
- You will not be able to link requests to this deliverable.
- Any request that has not been realized will be rejected.
- Any request that has been realized can be approved and invoiced.
Buttons
Close
Click this to exit.
Save
Click this to save the entry.
Save + New
Click this to save the entry and create another deliverable.
Note: This button is available only when you are creating a deliverable.
Delete
Click this to delete the deliverable.
Note: This button is available only in the edit mode.
New child project
Click this to create a child project.
Note: This button is enabled only in the edit mode and disabled when you are creating a deliverable.
Fields
General section
Code
Type a code for the deliverable. This is mandatory.
Note: This is enabled only when you are creating a deliverable and disabled in the edit mode.
Description
Type a description for the deliverable. This is mandatory.
Item
Type or select an item to be linked to the deliverable. This is enabled only when you are creating a deliverable.
Note:
- If an item is defined at the Default deliverable item field on the Professional services automation: Settings page, this field will be automatically filled with the particular item during the creation of deliverables. However, you can select another item to be used. The item defined in this field will take precedence. The default deliverable item does not apply to the creation of deliverables via copying from another deliverable.
- If an item is defined at the Default deliverable item field on the Professional services automation: Settings page but you remove the default deliverable item in this field, the same item will still be used upon the creation of a deliverable.
- If no item is defined at the Default deliverable item field on the Professional services automation: Settings page and no item is defined in this field, the system will automatically create an item upon the creation of a deliverable.
Parent deliverable
Type or select the parent deliverable (if any) for the deliverable.
Note: This is enabled only when you are creating a deliverable and disabled in the edit mode. This is mandatory.
Project
This displays the name of the related project. This cannot be edited.
Start date – End date
Type or select a date range for the deliverable.
Note: When creating an activity or material to be linked to this deliverable, the date range for the activity or material has to be within the date range defined in this field.
Status
Select the status of the deliverable.
Note:
- When creating a deliverable, the New option will be selected by default and cannot be changed. At this stage, the deliverable and its WBS lines are visible only to the project manager. Hours and expenses cannot be planned for the deliverable, in other words, requests with the deliverable cannot be created.
- You can select the In progress option once a new deliverable has been saved, or if the current status of the deliverable is Completed. Deliverables with the In progress status are displayed in the bucket list, and hours and expenses with these deliverables can be planned and realized.
- You can select the Completed option only if the current status of the deliverable is In progress.
- No requests can be created for deliverables with the Completed status. Also, no WBS lines for these deliverables can be created. Any planned requests will be automatically rejected. However, requests that have been realized can be approved, and requests that have been approved can be invoiced. If a Capacity planning & realization (CPR) request does not have any realized hours (Hour planning & realization requests are not linked to it), the CPR request will be automatically rejected. Otherwise, the CPR request can be approved and realized.
