Introduction
The setup and maintenance of personal data classifications
have been made available to support the proper management of personal data and
be in compliant with the General Data Protection Regulation (GDPR). This
feature enables the setting of expiry dates for personal data so that those
data are anonymized when they are no longer applicable. This is useful in cases
where an employee has resigned from the company, a lead account is not promoted
to the customer account, or an applicant is not hired.
This page is an action center that displays a summary of existing personal data classifications. From this overview, you can easily view the events linked to the personal data classifications, whether the events have taken place, and the number of people or accounts linked to the events. An event indicates the circumstances when the personal data of your employees, contact people, and accounts are no longer needed, and can be anonymized.
Roles and rights
To access the action center for personal data classifications, function right 1029 —
Personal data management is required. By default, users with the Personal
data controller role have this function right.

What version are you using?
The information in this document is applicable to product
update 260 and higher. If you have versions lower than this, certain features
explained here will not be applicable.
How do I view the summary?
- On the Personal data: Selections / Actions page, define
the filter criteria to display the required results.
- Click Refresh.
- Click the hyperlink in the Total linked: Persons
column to zoom in on a personal data classification.
How do I export the overview to Microsoft Excel?
- On the Personal data: Selections / Actions page, define
the filter criteria to display the required results.
- Click Refresh.
- Click the hyperlink in the Total linked: Persons
column to zoom in on a personal data classification.
- Click the

Buttons
Close
Click this to exit.
Refresh
Click this to update the results according to the defined
criteria.
Reset
Click this to clear the defined criteria so that you can
start a new search.
Fields
Criteria section
Code
Type the code of the personal data classification. You can
select Equal to, Starts with, or Contains to filter the
classification with the code that matches the defined value, or classifications with
the codes that start with or contain the defined value.
Include: Inactive
Select this check box to include personal data
classifications with the Inactive status in the overview. If this check box is not selected, only personal data classifications with the Active
status will be displayed in the overview.
Description
Type the description of the personal data classification. You
can select Equal to, Starts with, or Contains to filter
the classification with the description that matches the defined value, or
classifications with the descriptions that start with or contain the defined
value.
Event occurred
Select this check box to display only events that have already
occurred in the overview. If this check box is not selected, all events will be displayed in the overview.
Category
Select Employee, Contact person, or Account
to display events created for the respective category.
Expiry period reached
Select this check box to display only events with a retention period of the data that has expired or passed the current date in the overview. If this check box is not selected, all events will be displayed in the overview.
Columns
Classification code
This column displays the codes of the personal data classifications.
You can click the hyperlink to view or modify the personal data classification.
Description
This column displays the descriptions of the personal data classifications.
You can click the hyperlink to view or modify the personal data classification.
Status
This column displays the statuses of the personal data
classifications.
Category
This column displays the categories for which the personal data classifications are created.
Type
This column displays the types of employees or accounts for which the personal data classifications are created.
Event
This column displays the events of the personal data
classifications.
Expiry period
This column displays the expiry periods of the personal data
classifications.
Time scale
This column displays the time scales of the personal data classifications.
Total linked: Persons
This column displays the number of people or accounts linked to the events. You can click the hyperlink to zoom in on the respective event. For more information, see Zooming in on events for personal data classifications.
Total: Event occurred
This column displays the number of people or accounts linked to the events that have already occurred.
Total: Expiry period reached
This column displays the number of people or accounts linked to the events with a retention period of the data that has expired or passed the current date in the overview.
