Grouping invoices

Invoice ➔ Entries ➔ Group invoices
Introduction
To send more than one invoice to a debtor, it will be more convenient to
group these invoices into one invoice before sending to the customer. This
reduces the number of invoices and payments that require processing.
With Exact Globe Next, you can group the invoices that have been authorized.
For more information, see
Authorizing invoices. However, the following types of invoices cannot be
grouped:
- Invoices paid in advance
- Direct invoices
- Recurring invoices
What version are you using?
The information in this document is applicable to product update
411 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I group invoices?
- In the Group invoice screen in the
Selection criteria and Type sections, define the relevant criteria.
The invoices that match the defined criteria will be displayed in the
Invoice proposals section.
- Select the invoice required, and then click Group. The
Group invoices screen will be displayed.
- Type the description of the invoice at Description, and then click OK.
Fields
Selection criteria section
Order debtor
Select this check box to group invoices with the same order debtor.
Delivery debtor
Select this check box to group invoices with the same delivery debtor.
Invoice debtor
This check box is pre-selected and cannot be modified. This selection groups
invoices with the same invoice debtor.
Currency
This check box is pre-selected and cannot be modified. This selection groups
invoices with the same currency.
Exchange rate
This check box is pre-selected and cannot be modified if you have selected
Input time at Exchange rate in the Print section at System
➔ General ➔ Settings, under Invoice settings. This selection groups invoices
with the same exchange rate. However, if you have selected Print time at
Exchange rate, this check box will be enabled. If you clear this check
box, it will allow you to group invoices with different exchange rates. For more
information on the invoice settings, see
Invoice settings.
Project
Select this check box to group invoices with the same project.
Note: This is available only if you have E-Project in your
license.
Warehouse
This check box is pre-selected. This selection groups invoices with the same
warehouse. Clear this check box to group invoices from various warehouses.
Selection code
Select this check box to group invoices with the same selection code.
Invoice code
Select this check box to group invoices with the same invoice code.
Add: Your reference
This is the internal order number of the customer printed on your invoice.
Select this check box to allow the system to generate extra lines in the invoice
lines to show every internal order number of the invoices that have been
grouped.
Sales employee
Select this check box to define that sales employees and sales commission
split percentages will be used as one of the criteria to group invoices. The
grouping will only be successful if the source and target of the sales employees
and sales commission split percentages are identical.
Note: This is available only if you have selected the Use sales commission check box in the Sales commissions
section at System
➔ General ➔ Settings, under Order settings. For more information, see Order settings.
VAT number
Select this check box to group invoices with the same VAT number.
Type section
In this section, select the type of invoice you want to
group. You can select more than one option. The following options are
available:
- Sales invoice — Normal sales invoices registered
at Invoice ➔ Entries ➔ Invoices.
- Credit note — Credit notes registered when sold
items are returned.
- Commission invoice — Commission invoices
generated with E-Commission invoices. This option is only shown if
you have E-Commission invoices in your license.
- POS — Invoices generated with E-POS. This
option is only available if you have E-POS in your license.
Invoice proposals section
In this section, you can see the invoice proposals that are
created based on the defined criteria. The CountNo column indicates the
number of invoices and/or credit notes for the debtor. If you select an invoice
proposal and click Advanced, you can see all the invoices and/or credit
notes of the selected debtor that can been grouped.
Buttons
Advanced
Click this to display a second section (below the
Invoice proposals section) which shows all individual invoices and/or
credit notes of the selected invoice proposal. Click Simple to close the
second section.
Select all / Deselect all
Click Select all to select all invoice
proposals to be grouped. If you have selected more than one invoice or credit note
line, Deselect all will be available. Click Deselect all to
deselect all invoice proposals to be grouped.
Group
Click this to group the selected invoices and/or credit
notes. A message box will be displayed. Type the invoice or credit note description
at Description and the customer’s reference number of the invoice and/or
credit note at Your reference. Then, click OK.
Note: This button is enabled only when
more than one invoice or credit note is selected. To select more than one
invoice or credit note, click on the invoices and/or credit notes you want to
group.
Close
Click this to exit.
